How to Book a Meeting Room
Booking a meeting room with this system is easy. Please follow the steps below.
Creating a New Reservation
- Click on the desired time slot on the calendar, or drag to select a time range.
- When the reservation form appears, fill in the required fields (marked with a *).
- Purpose: Enter the purpose of the meeting (e.g., Weekly team sync).
- Meeting Room: Select the room you want to use.
- Start/End Time: The times are filled in automatically, but you can adjust them as needed.
- Approval: If the selected room requires approval, your booking will be submitted as a request. You will be notified by email once it is approved or rejected.
- If necessary, enter optional information such as attendees or whether a projector is needed.
- Recurring Reservation: Check the "Repeat this reservation" box to create the same reservation daily, weekly, or monthly.
- Finally, click the "Book Now" or "Submit Request" button to complete the reservation.
Reviewing and Editing Reservations
- Click on one of your reservations displayed on the calendar to see the details.
- If you want to edit the details, change the information in the form and click the "Update" button.
- If you want to cancel the reservation, click the "Delete" button.
For Approvers
- If there are pending reservations that require your approval, an "Approvals" button with a number will appear in the header.
- Click this button to open the approvals list.
- Review the details of each request and click "Approve" or "Reject".
- If you reject a booking, you will be prompted to provide a reason for the rejection.
Useful Features
- Room Filter: You can display the schedule for a specific meeting room using the dropdown menu above the calendar.
- Overview: Click the "Overview" button in the top right to see the reservation status of all rooms for the day in a timeline format.
